Event Coordinator – West Newton Cinema

About Us:

The West Newton Cinema, a historic theater built in 1937, is a beloved community fixture showcasing new releases, classic films, and hosting a wide array of private events, including birthday parties and private rentals. As we continue to grow, we are looking for a personable, organized, and detail-oriented individual to join our team as an Event Coordinator.

Position Overview:

The Event Coordinator will oversee all private rental bookings and ensure a seamless, positive experience for our clients from initial inquiry to post-event follow-up. This is an hourly hybrid position, allowing the flexibility to manage correspondence and administrative duties remotely, while requiring in-person attendance only for scheduled events at the theater.

Key Responsibilities:

Booking Management:

· Handle incoming private rental requests via phone, email, or online.

· Gather relevant details from potential clients and determine event suitability.

· Coordinate with cinema staff to secure available dates and finalize bookings.

Customer Liaison:

· Serve as the primary point of contact for rental clients.

· Follow up with clients the week of their event to confirm final details.

· Be on-site on the day of the event to welcome the rental party, ensure their needs are met, and help them settle in.

Post-Event Follow-Up:

· Reach out to clients after their event to thank them and collect feedback.

 

Administrative Duties:

· Maintain an organized system to track multiple bookings and inquiries simultaneously.

· Utilize Microsoft Office tools, including Excel and Word, to manage schedules and client information.

Qualifications:

· Strong organizational skills with attention to detail and the ability to manage multiple priorities.

· Proficiency in Microsoft Office, particularly Excel and Word.

· Exceptional verbal and written communication skills.

· A friendly, warm, and polished demeanor when interacting with clients, both in person and over the phone.

· A professional approach to problem-solving and handling any challenges that may arise before, during, or after an event.

· Ability to work evenings and weekends as required for scheduled events.

Position Details:

This is a Part-Time hourly hybrid role (15-25 hours/week).

· All correspondence, scheduling, and administrative tasks can be managed from home.

· In-person attendance is only required on the day of events.

· Evening and weekend availability is necessary for scheduled events.
