JOB DESCRIPTION

We are searching for a Financial Operations Associate with financial services experience, a positive attitude and an exceptional work ethic to join our rapidly expanding team. This position is critical in ensuring the smooth operation of our financial services and client support.

KEY RESPONSIBILITIES

  • Collaborate with custodians (Fidelity and Schwab) for various operational processes, including transfers, distributions, and account maintenance
  • Efficiently and effectively prepare new account and service paperwork to completion
  • Provide outstanding customer service in person and over the phone to assist clients and resolve their service requests
  • Handle routine client service requests, inquiries, and escalate cases when necessary
  • Respond to client inquiries and address their requests promptly
  • Manage projects, hold advisors and others accountable for deliverables, and track critical items
  • Maintain accurate CRM (RedTail) data entry for all clients and prospects

KEY COMPETENCIES

Technical

  • Proficiency in account and entity types, cashiering, and portfolio administration paperwork
  • Experience in opening and closing accounts, managing financial transactions, generating reports, and maintaining client records
  • Basic understanding of portfolio management is a plus
  • Familiarity with the financial services and securities industry

Communication

  • Demonstrated ability to communicate effectively and in a timely manner with clients, custodial contacts, investment managers, team members and related professionals
  • Successful coordination of various third parties to work together for clients' convenience

Detailed and Organized

  • Extreme attention to detail and accuracy is a MUST
  • Solid time management and project management skills
  • Proven ability to handle multiple projects and meet deadlines
  • Ability to create organizational systems that make information easily accessible

QUALIFICATIONS

  • Associate or Bachelor’s degree in Finance, Economics, Accounting, or a related field is required
  • 3-5 years of experience in the financial services industry is preferred
  • Series 65 certification is preferred
  • Proficiency in Microsoft Office products, especially Excel
  • Proficient use of CRM systems
  • Basic knowledge of platforms such as DocuSign, QuickBooks, Money Guide Pro, Holistiplan, and AdvicePay is a plus
  • Familiarity with compliance requirements for handling highly confidential information
