Job Title: Office Services Associate

Location: Santa Barbara, CA

Pay Rate: $26.00 - $28.00 per hour

Hours: Monday - Friday, 8:00 AM - 5:00 PM

Position Overview:

The Office Services Associate plays a vital role in ensuring the smooth and efficient operation of office services, including hospitality, back-office support, mail handling, reprographics, and general office management. This position, reporting to the Regional Client Relations Manager , is key to maintaining a professional and welcoming environment. Key Responsibilities:

Process & Procedures (15%)

  • Collaborate with client organizations to establish effective policies and procedures that drive operational excellence.
  • Monitor KPIs and ensure adherence to all Service Level Agreement (SLA) requirements, constantly striving for service improvement.
  • Apply change management strategies to implement process improvements in a service-oriented environment.
  • Regularly update and maintain the Site Operations Manual/Playbook, ensuring accurate and comprehensive documentation.

Guest Relations (25%)

  • Build and maintain positive relationships with guests, offering personalized gestures to show appreciation for their loyalty.
  • Engage with guests throughout their visit, proactively addressing concerns and ensuring a seamless experience.
  • Identify opportunities to upsell additional services and amenities, contributing to revenue growth while enhancing the guest experience.

Guest Experience (25%)

  • Provide a warm, welcoming experience for all guests, making a strong first impression that reflects the company’s commitment to exceptional service.
  • Anticipate guest needs, offering tailored recommendations to improve their experience.
  • Handle guest inquiries, complaints, and special requests promptly and professionally, ensuring guest satisfaction.
  • Continuously monitor guest feedback and reviews, identifying areas for improvement and implementing solutions.

Mail Services (15%)

  • Oversee mail sorting and distribution, conduct mail runs, and operate postage equipment for outgoing mail processing.
  • Handle specialized outgoing mail, such as certified or registered mail, ensuring timely and accurate delivery.

Print & Reprographics (15%)

  • Provide essential print services, including copying, binding, hole punching, stapling, and performing routine copier maintenance.
  • Maintain accurate records for print jobs and assist with CD/DVD reproduction or imaging projects.

Training & Development (5%)

  • Actively engage in training programs, including the use of the Cornerstone platform, to enhance your knowledge and professional growth.

Position Requirements & Qualifications:

  • High school diploma or equivalent; college degree preferred
  • 2-3 years of relevant experience in a service-oriented role
  • Proficient in Microsoft Office applications
  • Strong interpersonal skills with the ability to build relationships and work collaboratively in a team setting
  • Excellent organizational skills with a keen eye for detail
  • Ability to maintain confidentiality and ensure security of client information
  • Professional, positive attitude at all times
