ROLE IMPACT
This role ensures accurate and timely handling of all inbound and outbound mail, executed packages, and financial disbursements. Success is defined by precise processing, strong attention to deadlines, and maintaining the flow of physical and digital documents that support daily business operations.
KEY RESPONSIBILITIES
• Sort, process, and distribute all incoming and outgoing mail, including UPS, FedEx, and interoffice deliveries
• Prepare disbursement materials by printing checks, invoices, and shipping labels
• Scan executed buyer/seller packages and original documents into digital systems
• Monitor supply levels and request replenishment for mailroom inventory (e.g., copy paper, envelopes)
• Coordinate with document storage and shredding vendors as needed
• Provide general admin support including filing, faxing, data entry, and photocopying
MINIMUM QUALIFICATIONS
• High school diploma or equivalent
• 1+ year experience in an administrative, mailroom, or office support role
• Comfortable working 100% onsite with minimal supervision
• Strong accuracy and attention to detail in time-sensitive environments
CORE TOOLS & SYSTEMS
• Microsoft Office Suite (Outlook, Excel)
• Multi-function printers/scanners
• FedEx and UPS shipping tools
• Document scanning platforms
• Basic ERP or accounting system familiarity
PREFERRED SKILLS
• Proven ability to meet outbound mail and fund processing deadlines
• Experience using 2–3 software applications simultaneously
• Familiarity with records management or document handling procedures
